Project Overview
The 2023 International Congress of Actuaries (ICA2023) was a major global event held at ICC Sydney, welcoming over 1,500 attendees from more than 80 countries. Hosted by the Actuaries Institute Australia, the event served as a key platform for knowledge sharing, professional development, and global networking within the actuarial industry.
Grand Stand Events was engaged to provide a comprehensive shell scheme setup for 26 exhibition booths, ensuring a professional and fully functional exhibitor space that aligned with ICA2023’s prestige and high standards. The installation, event management, and logistics were executed with precision to facilitate exhibitor engagement and enhance the overall delegate experience.
Scope of Work
Shell Scheme Booth Construction
Grand Stand Events designed, installed, and managed a 26-booth shell scheme comprising of:
22 x 3m x 3m Octanorm Booths, each featuring:
• 2 x LED Arm Lights for enhanced visibility.
• 1 x 10amp Power Point for exhibitor utilities.
• 1 x Custom Printed Fascia Sign with exhibitor branding.
• 6 x White PVC Infill Wall Panels (or similar) for a clean and professional finish.
4 x 6m x 3m Octanorm Booths, each including:
• 4 x LED Arm Lights for even illumination.
• 2 x 10amp Power Points for increased power access.
• 2 x Custom Printed Fascia Signs to boost brand exposure.
• 6 x White PVC Infill Wall Panels (or similar) for structural consistency.
Each booth was designed to provide a highly functional and visually appealing environment to support exhibitors in maximising their presence and engagement throughout the congress.

Electrical Installation
To ensure seamless power distribution and optimal lighting across the exhibition area, we managed:
• 3-Phase Switchboard (6 x 15amp Circuits) to efficiently power all exhibition booths and displays.
• 2 x Leads & Distribution Packages to ensure safe and effective power management across all stands.
Booth Furniture
• Exhibitors were responsible for organising their own choice of furniture through Grand Stand Events, allowing for personalised setups to align with their branding and display needs.
Logistics & Event Services
To support smooth operations and sustainability initiatives, Grand Stand Events provided:
• Warehouse Pick & Pack Services, ensuring all materials were prepared, packed, and transported efficiently.
• Post-Show Disposal & Recycling Services, reinforcing environmentally responsible waste management.
• Consumables Packages, covering essential materials for installation and event execution.
Execution & Delivery
Grand Stand Events managed the bump-in, installation, dismantling, and bump-out with precision and efficiency. The team worked closely with the Actuaries Institute and ICC Sydney to ensure a streamlined process that met all exhibitor requirements and industry standards.

Outcome & Impact
The installation was completed on time, providing exhibitors with a fully functional and aesthetically polished space well before the event commenced.
